Role Description:

The Workday Operations Analyst plays a critical, high-impact role in overseeing and executing core employee lifecycle operations across the US and Canada. As a Subject Matter Expert (SME) on the ES Operations team, you will lead key operational workstreams and handle high-complexity processes including voluntary and involuntary terminations, Work Authorization (I-9 / GWA compliance), continuous data auditing, and complex case management.
Beyond operational delivery, this position requires strong stakeholder management (Legal, Payroll, IT, ER), data integrity oversight, driving process transitions, and identifying opportunities for automation and continuous improvement to ensure seamless execution across the operation.

Key Responsibilities:

  • Termination's Operations (US & Canada): End-to-end management of complex voluntary and involuntary separation processes across the US and Canada, ensuring 100% compliance with local policies, Legal requirements, and a high-touch employee experience.

  • Work Authorization & Compliance (I-9 / GWA): Lead and audit the US work authorization and Form I-9 compliance programs (including GWA), vendor touch points, and periodic data alignment checks to mitigate business risk.

  • Data Quality & System Audits: Execute regular, continuous data audits in Workday to safeguard employee data integrity across upstream and downstream systems. Report findings and correct discrepancies efficiently.

  • Process Transitions & Change Management: Actively participate in and support end-to-end process transitions—both onboarding new processes into the team and transitioning existing workflows to other global operational teams or partners.

  • Advanced Case Management: Act as the Subject Matter Expert for managing high volumes of complex employee inquiries and escalated tickets. Partner with Legal, Payroll, Employee Relations (ER), and IT to resolve sensitive edge cases.

  • Stakeholder & COE Collaboration: Consult and build strong cross-functional partnerships with Legal, Payroll, IT, and ES Business Partners to align policies with operational procedures.

  • Process Improvement & Automation: Proactively identify operational inefficiencies, drive process automation, and participate in User Acceptance Testing (UAT) for Workday enhancements.

  • Knowledge Base & Process Documentation: Author, structure, and create core Knowledge Base (KB) articles and self-service documentation from scratch. Lead the comprehensive documentation of internal team operational processes (SOPs) to ensure operational readiness and standardization.

Required Skills & Qualifications:

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field required.

  • Experience: 4+ years of HR Operations, HR Generalist, or Shared Services experience in a multinational tech company.

  • Workday Expertise: Proven experience performing operations, data updates, and reports directly within Workday HCM.

  • Separation & Compliance Lifecycle: Direct experience managing voluntary and involuntary separations and/or compliance programs (e.g., I-9, work authorization) in the US and Canada.

  • AI & Process Automation: Hands-on experience leveraging Artificial Intelligence (AI) tools and process automation technologies to streamline operational workflows and improve efficiency.

  • Data & Technical Skills: Advanced Excel proficiency to analyze, audit, and reconcile HR datasets.

  • Volume & Case Management: Ability to manage high volumes of employee cases and resolve ambiguous or complex HR policy inquiries via ticketing tools.

  • Communication & Confidentiality: Exceptional written and verbal communication skills, with a proven track record of handling highly confidential matters.

Preferred Qualifications:

  • Experience managing US, Canada, and global termination and compliance processes.

  • Formal continuous improvement training or certifications (Lean, Six Sigma, Agile).

  • Experience acting as a Subject Matter Expert (SME) in a virtual/remote regional team.

  • Background in participating in HRIS project rollouts, process transitions, testing (UAT), or system enhancement cycles.
